Robert Half Office Manager in Columbus, Ohio

Description We are offering a contract to hire employment opportunity for an Office Manager in Columbus, Ohio. The individual will be responsible for performing a variety of reception and office services duties to deliver high-quality services to both internal and external clients. This role involves managing and prioritizing multiple reception, administrative, and daily office services functions.

Responsibilities

• Open and close reception, greet clients and direct them to the relevant conference room.

• Monitor pick-ups and deliveries, retrieve and distribute incoming mail.

• Manage conference room calendars and schedule visitor office and conference rooms for visiting attorneys.

• Maintain and order service, parts, or refills for all office equipment, ensuring the office is well-stocked with necessary supplies.

• Coordinate with HR and Facilities on access cards and maintain cleanliness of keypads and high touch areas.

• Assist with maintaining and organizing physical and electronic records, ensuring that internal requests for records are timely handled, cataloged, and labeled.

• Assist with destruction or disposal of records in compliance with company policy.

• Collect and process outgoing mail/packages, sort and route checks to finance.

• Report any building maintenance issues and coordinate with third parties as needed.

• Provide administrative support for mailing of invoices, past due notices, etc.

• Preparation of file folders for new matters and other ancillary support projects for administrative and legal support teams.

• Adapt to change (expected and unexpected) and balance competing demands in a fast-paced environment.

• Work in collaboration within a group to ensure that internal and external clients are satisfied, including understanding client’s concerns, and building trust.

• Demonstrate excellent communication, grammatical and proofreading skills.

• Possess strong knowledge of Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, Customer Service, Administrative Office, Basic Office Skills, Back Office Support, MS Word, Maintain Office Supplies, Ordering Office Supplies, Order Office Supplies, Distribute Incoming Mail.

• Always keep client and company information confidential; understand and implement general rules of ethical behavior applicable to legal personnel. Requirements • Prior experience of 3+ years in an office management or similar administrative role

• Proficiency in Microsoft Office Suites, including Microsoft Excel, Microsoft Outlook, and MS Word

• Demonstrated skills in customer service and administrative office tasks

• Experience with basic office tasks such as distributing incoming mail and maintaining office supplies

• Knowledge of back office support procedures

• Familiarity with ordering office supplies and ensuring timely distribution

• Ability to handle multiple tasks simultaneously and prioritize work effectively

• Strong organizational skills and attention to detail

• Excellent interpersonal and communication skills

• High school diploma or equivalent required; additional qualifications in Office Administration are a plus.
